These Terms and Conditions apply to every offer, booking, and rental agreement between Bike Rental Zaandam and you. By completing a booking and/or signing the rental form, you confirm that you have read, understood, and accepted these Terms and Conditions.
1. Definitions and parties
Rental company / “we”, “us”, “our”: Bed & Breakfast “Het Sluisje”, trading as Bike Rental Zaandam, established at Westzijde 273, 1506 GE Zaandam, the Netherlands. Registered with the Dutch Chamber of Commerce (KvK) under number 91432596, VAT number NL004890158B73.
Renter / “you”, “your”: the natural person who books and/or rents one or more bicycles from us and who accepts these Terms and Conditions.
Bike: any bicycle or electric bicycle (e-bike) rented from us, including its battery, charger, keys, locks and any accessories provided.
Rental period: the period between the agreed pick-up time and the agreed return time as stated in your booking confirmation.
2. Booking, prices and payment
2.1 A rental agreement is concluded once you receive a booking confirmation from us and payment has been completed.
2.2 All prices are stated at the time of booking and include VAT where applicable. The prices that apply to your rental are those shown during the booking process.
2.3 Payment of the rental fee is processed online through our booking system (Booqable) and payment provider (Mollie) before the start of the rental period. The security deposit is paid separately in cash at pick-up (see Article 3).
2.4 We may refuse a booking or rental at our discretion, for example if identification cannot be verified or if we have reasonable doubts about safe use of the bike.
3. Security deposit
3.1 A refundable security deposit of €100 per e-bike is required at pick-up. The deposit must be paid in cash at the time of pick-up.
3.1a We are currently unable to accept the security deposit by card or any other payment method. If the cash security deposit cannot be provided at pick-up, we will be unable to hand over the e-bike(s).
3.1b The deposit will be refunded in cash after the rental period, provided the bike(s) are returned in accordance with these Terms and Conditions.
3.2 The deposit is not a payment for the rental and does not limit your liability. It serves as security for any amounts you may owe us, including the excess (own risk), late-return fees, damage, loss, or theft.
3.3 After the bike has been returned and inspected, the deposit is released or refunded, less any amounts you owe us under these Terms and Conditions.
3.4 If the costs we incur exceed the deposit, you remain liable for the full remaining amount.
4. Identification and minimum age
4.1 Every renter and rider must be at least 18 years old. This requirement applies to everyone who will use an e-bike, not only to the person making the booking. A valid ID may be requested at pick-up.
4.2 Before or at the start of the rental period you must provide valid identification (passport, national ID card, or driver’s licence) and complete our digital rental form, including a copy of your ID and a digital signature.
4.3 We process and store your identification securely and delete it after your rental ends, in accordance with our Privacy Policy (see Article 14).
4.4 You may shield your citizen service number (BSN) and photo on the ID copy where the law allows; the document must remain sufficiently legible to verify your identity and age.
5. Use of the bike
You agree to use the bike carefully and responsibly. In particular, you agree that you will:
- only use the bike for normal, personal transport;
- obey all applicable traffic laws and regulations in the Netherlands;
- not ride under the influence of alcohol, drugs, medication, or any other substance that may impair safe riding;
- not carry more passengers than the bike is designed for, and not exceed its load capacity;
- not use the bike for races, stunts, off-road riding, commercial passenger or goods transport, or any other abnormal use;
- not sublet, lend, or otherwise make the bike available to third parties;
- not make any repairs or modifications to the bike yourself without our written permission.
5.1 Use outside the Netherlands is not permitted. The bike must not, under any circumstances, be taken outside the borders of the Netherlands. Taking the bike abroad is a material breach of these Terms and voids any reduced-excess arrangement (see Article 9).
6. Locks, parking and anti-theft obligations
6.1 Each bike is supplied with two locks: an integrated frame/ring lock and an AXA UL-130 chain lock.
6.2 Whenever the bike is left unattended, even briefly, you must lock it using both locks provided, and where possible secure it to a fixed object.
6.3 You must never leave the battery, charger, keys, or accessories unattended.
6.4 You are responsible for choosing a safe parking location and for taking all reasonable measures to prevent damage and theft.
7. GPS tracking
7.1 All our bikes are fitted with a GPS tracking device. We use GPS data to locate, protect, and recover our bikes, to support theft reports, and to verify compliance with these Terms (for example, the prohibition on taking the bike abroad).
7.2 The GPS device must remain active and undisturbed at all times during the rental period. Disabling, removing, shielding, or tampering with the device is not permitted and is a material breach of these Terms.
7.3 We process GPS and location data in accordance with applicable data-protection law and our Privacy Policy (see Article 14).
8. Liability, damage, theft and excess (own risk)
8.1 You are liable for all loss of, theft of, and damage to the bike that occurs during the rental period, except for normal wear and tear or a demonstrable technical defect that is not attributable to you.
8.2 We do not provide insurance for the bike. Your financial liability is limited by the excess (own risk) arrangement set out below, provided you meet all conditions of these Terms and Conditions.
8.3 The standard excess (own risk) is €850 per incident. This is the maximum amount you owe per incident of damage or theft when all conditions are met, except where the reduced-excess option does not apply (see Article 9).
8.4 Normal wear and tear is for our account. Costs caused by improper use, negligence, or breach of these Terms are for your account.
8.5 Our total liability towards you is at all times limited to the rental fee paid for the relevant rental, except in cases of intent or deliberate recklessness on our part. We are not liable for indirect or consequential loss, including personal injury or damage to personal belongings, except where mandatory law provides otherwise.
9. Reduced Excess option
9.1 At the start of the rental period you may choose the optional “Reduced Excess” arrangement. It applies only if it has been expressly agreed and paid before the rental period begins.
9.2 With the Reduced Excess option, the excess (own risk) is reduced from €850 to €100 per incident, for an additional fee of €6 per day.
9.3 The Reduced Excess option covers only sudden and unforeseen damage to the bike arising during normal and careful use in line with these Terms and Conditions.
9.4 The Reduced Excess option does not apply and lapses in full in any of the following cases:
- intent, deliberate recklessness, or gross negligence on your part;
- riding under the influence of alcohol, drugs, or other intoxicating substances;
- breach of any law, regulation, or traffic rule;
- use of the bike for races, stunts, off-road riding, or other abnormal purposes;
- subletting, lending, or making the bike available to third parties without our written permission;
- leaving the bike unattended without using both locks provided;
- loss of keys, chargers, or accessories;
- failure to act carefully to prevent damage or theft;
- failure to report damage, loss, or theft to us immediately;
- taking the bike outside the Netherlands;
- disabling, removing, or tampering with the GPS device;
- in the event of theft: failure to hand over all keys provided, or the absence of an official police report.
9.5 Damage to accessories, phone holders, separate navigation devices, personal belongings, tyres, rims, and battery packs is covered only if expressly agreed in writing.
9.6 The Reduced Excess option never releases you from the obligation to handle the bike with care. We may carry out further investigation where there is doubt about the cause of damage or theft before applying the option.
10. Theft procedure
In the event of theft, you must:
- notify us immediately by phone at +31 6 26 54 69 65;
- report the theft to the police without delay;
- provide us with a copy of the official police report;
- hand over all keys provided.
10.1 If any of these steps is not met, the standard excess of €850 applies in full and the Reduced Excess option lapses.
11. Breakdown, faults and maintenance
11.1 In the event of a breakdown, fault, or accident, stop using the bike if it is unsafe and contact us immediately at +31 6 26 54 69 65.
11.2 Do not carry out repairs yourself and do not have repairs carried out by third parties without our written permission.
11.3 If a defect is attributable to you or to improper use, the related costs are for your account.
12. Return and late return
12.1 You must return the bike at the agreed location and by the agreed return time, in the same condition as received, with all keys, locks, charger, and accessories.
12.2 If you return the bike late, a fee of €10 per hour applies, without prejudice to our right to recover any further loss.
12.3 If the bike is not returned and no valid theft report is provided, we may treat the bike as lost and recover the full replacement value, in addition to any other amounts owed.
13. Cancellation and no-show
13.1 You may cancel free of charge up to 24 hours before the agreed pick-up time; the rental fee is then refunded in full.
13.2 If you cancel within 24 hours before the pick-up time, 50% of the rental fee is refunded.
13.3 If you do not show up (no-show) and do not cancel, no refund is given.
13.4 We recommend checking the weather before riding. Adverse weather is not in itself a ground for free cancellation outside the periods above. Where local consumer law grants you additional rights, those rights remain unaffected.
14. Privacy and personal data (GDPR)
14.1 To provide the rental service we process personal data, including your name, date of birth, contact details, a copy of your identification, your digital signature, and GPS/location data of the bike during the rental period.
14.2 We process this data to conclude and perform the rental agreement, to verify your identity and age, to protect and recover our bikes, to handle damage or theft, and to comply with legal obligations.
14.3 We store your identification securely and delete it after your rental ends, unless we are required or permitted by law to retain it longer (for example, in connection with damage, theft, or a dispute).
14.4 You have the right to access, rectify, or erase your personal data, and other rights under the General Data Protection Regulation (GDPR). For requests or questions, contact us at info@bikerentalzaandam.com.

15. Traffic fines and administrative costs
15.1 All traffic fines and penalties imposed during the rental period are for your account.
15.2 If a fine is addressed to us, we may pass it on to you and charge reasonable administrative costs for processing it.
16. Applicable law and disputes
16.1 Dutch law applies to these Terms and Conditions and to every rental agreement.
16.2 Disputes will be submitted to the competent court in the Netherlands, without prejudice to any mandatory consumer-protection rules that grant you the right to a different competent court.
16.3 If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions remain in full force, and the invalid provision will be replaced by a valid provision that most closely reflects its purpose.
